What is Governance?
If we look at a dictionary definition of governance, it is the process of establishing policies and then constantly monitoring these policies by a governing body. To ensure that the governing body can easily monitor these policies, they implement systems and tools that provides better visibility to the entire organization.
However, information governance is not a very pleasant thing, because it puts lot of people in a discomfort situation. This is exactly why this needs to be done in a smooth way so that employees don’t feel the discomfort and they are excited to accomplish their goals and objectives.
So, what is good information governance and how can it be implemented successfully. There are five steps that will ensure that this falls in place
Step 1: Ensure A Better Control
There are many reasons why companies avoid information governance. One reason that is quite commonly cited is managing legacy tools is cumbersome. However, the need to have a governance is to have a better control, which can be achieved by implementing modern, centralized and cloud-based content management systems, making it easy for employees to collaborate. From an organization perspective, they can manage the system seamlessly and enforce a better control.
Step 2: Get a Buy-in From Stakeholders
It is better to have one person who will be driving this initiative but he or she must ensure that all stakeholders are on the same page. For that, the individual must get a sign off from all these stakeholders.
Step 3: Identify Self-Governing Content
These documents enable auto compliance through intelligent policies. Of course, there are customizations that can be done as per various classifications. Some examples are as follows:
Retention Policies
Deletion Policies
Device Security
Step 4: Maintain Simplicity
Having a simple and secure way of file sharing will serve the purpose for your employees as they can focus on business goals and work with customers.
Step 5: Have the Right Service Provider
To ensure you have the right systems in place, you need to have the right service provider who can take care of the end-to-end process of implementation of information governance structure
A good governance always goes in line with customer expectations because they are keen to engage with enterprises who have a well-defined structure and processes around it.
